General Terms of Service

1. Acceptance of Terms

By accessing, browsing, or utilizing any of the services offered by TrackToRunway Travel Services LLC ("TrackToRunway", "we", "us", or "our") — including but not limited to booking flights, trains, hotels, and car rentals through our website, mobile platforms, telephone agents, or affiliated third-party distribution channels — you ("Customer", "you", or "Traveler") acknowledge that you have read, fully understood, and irrevocably agree to be bound by these General Terms of Service in their entirety.

If you do not agree to these terms, you must discontinue use of our services immediately. TrackToRunway reserves the right to modify these terms at any time; continued use of our services following any such modification constitutes your acceptance of the revised terms. The most current version of these terms shall supersede all prior versions and published on this page at all times.

2. Nature of Services & Agency Relationship

TrackToRunway operates as an authorized travel agency and acts as an intermediary between the customer and travel service suppliers including, without limitation, airlines, rail operators, car rental companies, hotels, and cruise lines (collectively "Suppliers"). TrackToRunway is not a carrier, hotelier, or transport provider, and does not itself operate any form of passenger transport or accommodation.

All products and services displayed are sourced from third-party Suppliers. By completing a booking, you enter into a direct contractual relationship with the Supplier governing the travel service itself. TrackToRunway's obligations are limited to the facilitation of booking transactions and provision of customer support services on your behalf.

3. Booking Accuracy & Customer Responsibility

You are solely responsible for the accuracy of all personal information — including full legal names as they appear on travel documents, passport numbers, dates of birth, nationality, and contact details — provided at the time of booking. Errors in passenger information may result in denied boarding, mandatory name correction fees, or full ticket cancellation at the customer's expense.

It is the customer's responsibility to ensure full compliance with all passport, visa, health, and entry requirements applicable to their nationality and destination. TrackToRunway provides general guidance as a courtesy only and accepts no liability for denied entry, deportation, or associated costs arising from failure to meet entry requirements.

Important Fare Rule Notice: Airfares are subject to change without notice until the ticket has been fully paid and issued. The price displayed at time of search is not guaranteed until a booking confirmation number and e-ticket number have been issued. TrackToRunway reserves the right to contact you if a fare becomes unavailable after initial quote.

4. Pricing, Taxes & Service Fees

All prices quoted by TrackToRunway include applicable government-imposed taxes, airport service charges, and fuel surcharges where disclosed by the Supplier at the time of booking. TrackToRunway may charge a separate agency service fee per booking or per passenger, which will be disclosed transparently at checkout before payment confirmation.

Prices are dynamic and based on live Supplier inventory. TrackToRunway utilizes real-time GDS (Global Distribution System) technology to access and display fares. Currency conversion rates, where applicable, are based on prevailing market rates at the time of processing and may include a minor conversion margin.

5. Ticket Issuance & Confirmation

A booking is confirmed only upon the issuance of an e-ticket confirmation email containing a valid airline PNR (Passenger Name Record) or booking reference from the Supplier. TrackToRunway will endeavor to issue tickets within 2–24 business hours depending on the fare type and Supplier processing requirements. Consolidator and negotiated fares may require up to 72 hours for issuance.

Customers are advised to contact TrackToRunway immediately at (800) 123-4567 if a confirmation is not received within 24 hours of payment, to verify booking status prior to any travel arrangements.

6. Limitation of Liability

To the fullest extent permitted by applicable law, TrackToRunway shall not be liable for any direct, indirect, incidental, consequential, or punitive damages arising from: (i) acts or omissions of any Supplier, including flight cancellations, delays, overbooking, or service failure; (ii) events of Force Majeure including natural disasters, terrorism, pandemics, governmental actions, or other circumstances beyond reasonable control; (iii) customer's failure to comply with Supplier or destination requirements; or (iv) technical failure of any third-party booking or payment platform.

7. Dispute Resolution & Governing Law

In the event of a dispute between a customer and TrackToRunway, the parties agree to first attempt resolution through direct negotiation in good faith. If not resolved within thirty (30) days, disputes shall be submitted to binding arbitration administered by the American Arbitration Association in Albuquerque, New Mexico, in accordance with its Commercial Arbitration Rules, except where prohibited by applicable consumer protection law.

These Terms shall be construed and governed by the laws of the State of New Mexico, United States of America, without regard to its conflict-of-law provisions.

Cancellation & Refund Policy

Note: All refunds are subject to the fare rules, terms, and conditions imposed by the airline or Supplier at the time of booking. TrackToRunway acts as an intermediary and processes refunds strictly in accordance with Supplier-defined fare rules. TrackToRunway service fees are generally non-refundable.

1. Voluntary Cancellation by Customer

Customers who voluntarily elect to cancel a booking must contact TrackToRunway via telephone at (800) 123-4567 or by email at support@tracktorunway.com. Cancellation requests submitted in writing must include the booking reference number, passenger full name, and the reason for cancellation.

Refund eligibility is determined exclusively by the purchased fare type as set by the Supplier. Customers should retain all fare rule documentation provided at the time of booking as this forms the contractual basis for any refund determination.

2. Refund Schedule by Fare Type

The following table provides a general guideline. Specific fare rules always take precedence:

3. The 24-Hour Cancellation Rule

In accordance with U.S. Department of Transportation (DOT) regulations, TrackToRunway will honor free cancellations within 24 hours of booking, provided that the departure date is at least 7 days (168 hours) in the future at the time of booking, and the ticket was purchased on a U.S.-issued fare. This applies regardless of the fare type.

For consolidator fares, group fares, and certain internationally-issued tickets, the 24-hour free cancellation may not apply. Applicable conditions will be disclosed at the time of purchase. If in doubt, call us within 3 hours of booking to clarify your cancellation window.

4. Involuntary Cancellation by Supplier

In the event that an airline or Supplier cancels or significantly alters a service (i.e., a schedule change of 3 hours or more), customers are entitled to:

  • Accept the revised schedule at no additional charge
  • Request re-accommodation on an alternative same-airline routing
  • Obtain a full refund of all amounts paid to TrackToRunway, inclusive of taxes, fees, and surcharges

Additional compensation (such as meal vouchers or hotel accommodation for prolonged delays) is governed by local aviation authority regulations and the Supplier's own Customer Service Plan. TrackToRunway will advocate on your behalf but cannot guarantee compensation from Suppliers.

5. Refund Processing Timeline

Upon confirmation of refund eligibility and submission to the Supplier, the following timelines apply from the date of Supplier confirmation:

  • Credit / Debit Card: 7–14 business days to appear on card statement
  • Debit / Bank Card: 5–10 business days depending on issuing institution
  • Airline Credit Voucher: Issued digitally within 3–5 business days
  • Bank Wire / ACH: 5–7 business days

TrackToRunway will proactively follow up with the Supplier and is not responsible for processing delays attributable solely to the airline or payment network. Customers will be notified by email at each stage of the refund process.

Booking Protection Tip: We strongly recommend purchasing a comprehensive travel insurance policy at the time of booking. Travel insurance can cover cancellation penalties, medical emergencies, trip interruption, and lost baggage in circumstances that are not covered by airline refund policies. Ask our agents about available travel protection plans.

6. No-Show Policy

In the event a passenger fails to check in for a confirmed flight without prior notification ("no-show"), the airline may automatically cancel all onward and return segments on the same booking, and the entire ticket may be forfeited with no refund. Some tickets allow retention of taxes only. Customers who anticipate missing a flight must contact TrackToRunway as soon as practicable to protect their booking and explore available options.

1. Introduction

TrackToRunway Travel Services LLC ("TrackToRunway", "we", "our", or "us") is committed to protecting and respecting your privacy. This Privacy Policy describes how we collect, use, store, disclose, and safeguard the personal data you provide to us in connection with your use of our website, mobile applications, telephone booking services, and any related services. By using our services, you consent to the data practices described in this policy.

2. Information We Collect

We collect the following categories of personal information:

  • Identity & Contact Data: Full legal name, date of birth, gender, nationality, email address, telephone number, postal address
  • Passport & Travel Documents: Passport or national ID number, expiry date, country of issue (required by airlines for international bookings)
  • Payment Information: Credit/debit card details (processed via PCI-DSS compliant payment processors; full card data is not stored by TrackToRunway)
  • Booking & Transaction Data: Travel itineraries, booking history, preferences, seat selections, meal requests, special assistance requirements
  • Communications Data: Records of email, phone, and chat correspondence with our support team
  • Usage & Technical Data: IP address, browser type and version, device identifiers, pages visited, session duration, referral source, and click data (collected via cookies and analytics tools)

3. How We Use Your Information

We process your personal data for the following purposes:

  1. To process and confirm travel bookings on your behalf
  2. To fulfill legal obligations imposed by airlines, border agencies, and regulatory bodies such as APIS (Advance Passenger Information System)
  3. To communicate booking confirmations, itinerary changes, and urgent travel advisories
  4. To provide 24/7 customer support and resolve disputes
  5. To personalize your experience and offer relevant travel deals based on past preferences
  6. To detect, prevent, and investigate fraud or security incidents
  7. To comply with legal, regulatory, or governmental obligations
  8. To analyze aggregate usage patterns and improve our services (using anonymized data only)

4. Data Sharing & Third Parties

TrackToRunway does not sell, rent, or trade your personal information to unrelated third parties for their independent marketing purposes. We share data only as necessary for service delivery with the following categories of recipients:

  • Suppliers: Airlines, hotels, car rental agencies, and rail operators require your personal and passport data to fulfill your booking and comply with government regulations
  • Payment Processors: PCI-DSS compliant processors (e.g., Stripe, Braintree) handle all card data securely on our behalf
  • GDS Providers: Global Distribution Systems (Amadeus, Sabre, Travelport) through which bookings are executed
  • Technology Service Providers: Cloud hosting, analytics, and CRM platforms operating under strict data processing agreements
  • Law Enforcement & Regulatory Authorities: Where required by law or court order

5. Data Retention

We retain your personal information for as long as necessary to provide our services and fulfill our legal obligations. Booking records are typically retained for a minimum of 7 years to comply with financial record-keeping regulations. You may request deletion of your personal data at any time (subject to legal retention requirements) by contacting our Privacy Team.

6. Your Rights & Choices

Depending on your location, you may have the following rights with respect to your personal data:

  • Right of Access: Request a copy of the personal data we hold about you
  • Right to Rectification: Request correction of inaccurate or incomplete data
  • Right to Erasure ("Right to be Forgotten"): Request deletion of your personal data, subject to legal retention requirements
  • Right to Data Portability: Receive your data in a structured, machine-readable format
  • Right to Opt-Out of Marketing: Unsubscribe from promotional communications at any time via the opt-out link in any email or by calling us
  • CCPA Rights: California residents have additional rights under the California Consumer Privacy Act, including the right to know, right to delete, and right to non-discrimination

8. Data Security

TrackToRunway implements industry-standard technical and organizational security measures including TLS/SSL encryption for all data transmitted between your browser and our servers, access controls, audit logging, and regular security assessments. Whilst we take all reasonable precautions, no data transmission over the internet can be guaranteed to be 100% secure. In the event of a data breach affecting your personal data, we will notify you and the appropriate regulatory authorities in accordance with applicable law.

9. Children's Privacy

Our services are not directed at persons under the age of 18. We do not knowingly collect personal information from minors without verified parental or guardian consent. Bookings for minor passengers must be made by an adult traveler. If you believe we have inadvertently collected data from a minor, please contact us immediately.

10. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our data practices, legal requirements, or service offerings. The "Last Updated" date at the top of this page reflects the date of the most recent revision. Material changes will be notified to existing customers via email or a prominent notice on our website. Your continued use of our services after any such change constitutes acceptance of the updated policy.
